Job Description
The Senior Officer – Supply Chain (General Procurement and Inventory Management) will be responsible for procuring general items, maintenance items, and technical items, and overseeing inventory-related matters. The role requires close coordination with the Maintenance Department, IT Department, Technical Department, & Admin Department to ensure the timely procurement of general items, IT items, admin services, spare parts, generators, HVAC systems, MEP equipment, medical equipment accessories, civil works, and maintenance services while ensuring compliance with procurement policies and achieving value for money.
Key Responsibilities
Manage the procurement of general, maintenance, and technical items, including generators, HVAC, electrical, mechanical, civil, plumbing, and MEP-related materials and services. Review requirements of admin items/services, technical specifications, BOQs, drawings, and scopes of work in coordination with the Admin Department, Maintenance Department, and Project Department. Obtain quotations, prepare technical and commercial comparative statements, and evaluate vendors. Coordinate with admin, engineers, contractors, and vendors to ensure accurate technical compliance before procurement. Prepare and process Purchase Orders (POs), Work Orders (WOs), service contracts, inventory reconciliation, and inventory management. Source and develop qualified technical vendors and maintain an approved vendor database. Negotiate pricing, delivery schedules, warranties, and after-sales support with suppliers. Coordinate the procurement of CAPEX and maintenance-related projects. Monitor project deliveries and ensure materials are supplied within agreed timelines. Maintain complete procurement records, contracts, and supporting documentation. Coordinate with local and overseas suppliers for equipment, spare parts procurement, and other related items. Ensure compliance with procurement policies and organizational procedures. Perform any other tasks assigned by the Supervisor or Head of Department.
Required Skills
Strong knowledge of supply chain and hospital management items/services. Ability to read and understand specifications, BOQs, engineering drawings, and equipment manuals. Experience in sourcing, vendor evaluation, and contract negotiation. Strong analytical, communication, and coordination skills. Proficiency in Microsoft Office and ERP systems.
