TASKS & ACCOUNTABILITIES:
The Program Officer will manage important relationships across stakeholders & implement activities leading to achievements of results, specifically those related to integrated community case management & behaviour change communication. Under the technical guidance of Provincial Manager, responsibilities include (but not limited to);
- Conduct weekly meetings with supervisor regarding planning of monthly review meetings, district monthly review meetings, joint monitoring visits, supportive supervision, mapping of community health workers, trainings etc. and timely share the plans with provincial office as per MOVs.
- Conduct monthly meetings with relevant stakeholders regarding planning of MRM, DRMs, JMVs etc.
- Conduct regular field visits to assure and effective service provision by the community health workers-CHWs.
- Assist in preparation of program related work plan, budget & reports including budget reconciliation.
- Take lead with the support of supervisor in implementation of program activities at field level, including but not limited to training, communication, collection of monthly reports on defined formats.
- Arrange trainings, workshops, seminars, meetings, trainings and other events as defined in the work plan, specifically iCCM project including coordination with the relevant stakeholders/ participants.
- Ensure accurate, reviewed & verified program related documents i.e. perdiem sheets/attendance sheets, nomination letters, reports, FM1 registers, FM2 registers, expenses etc. and submit within the specified time line to provincial office.
- Assist supervisor in review of iCCM program expenses. After each MRM, DRM, JMV, training etc. prepare budget Vs expense, review this with supervisor and share with provincial office.
- Draft letters and take meeting minutes and share with technical supervisor.
- Identify & develop success and human-interest stories on a quarterly basis, get them reviewed by the supervisor and share with provincial office.
- Develop program & project related PowerPoint presentations as and when required.
- Maintain routine coordination with government line departments, implementing partners, provincial and PMU teams, INGOs/NGOs and other stakeholders as required.
- Share monthly progress and feedback of meetings, discussions & reviews with supervisor.
- Verify FM1 registers with FM2 registers and referral slips before submitting MIS data with provincial office with the support of supervisor.
- Verify used RDTs & AMDS against issued stock every month.
- Ensure availability of timely up to date data for quality reports including digitization of data of service providers at each union council/hotspot, warehouse stocks, etc.
- Ensure data is timely input in iCCM software and verified before transfer to DHIS II.
- Provide support to supervisor by providing timely data for quality reports
- Review data shared for errors, missing pages, or missing information and work with team to resolves any discrepancies.
- Keep proper e-record of programme files and other official documents related to programme activities.
- Coordinate with supervisor/ provincial office for organizing meetings/logistics arrangement of key local and international visitors and staff members, etc.
- Timely obtain and forward the invoices / verified perdiem/attendance sheets of contractor’s/ consultants participants to relevant department for timely processing, ensuring compliance to requirements.
- Any other task assigned given by the supervisor.
