Job Description

TASKS & ACCOUNTABILITIES:


  1. Effectively coordinates with support services and work closely with the Site Supervisor/ Admin Assistant to ensure clinic affairs and maintain appropriate service standards at all levels.
  2. Logistic arrangements for traveling and transport communes for official visits
  3. SLA (Service Level Agreements) arrangements   
  4. Information sharing with line manager/ HOD on regular basis
  5. Coordinates with senior staff and assist them in problem solving.
  6. Coordinates with administrative staff
  7. Daily updates sharing with line manager and HOD.
  8. Compile medicine stock level & consumption data weekly basis
  9. Stock inventory management and recording
  10. Maintain fixed/ non-fixed assets record and update on regular basis.
  11. Ensure Planned Preventive Maintenance ‘PPM’ within due timelines.
  12. Maintain strong liaison with line departments and Donors.
  13. Ensure timely submission of utilities e.g. Electricity, Gas, Water, Fuel etc.
  14. Raise purchase request of medicine/supplies Kitchen supplies, HK, others general items quarterly bases.
  15. Timely submission of Petty Cash payments.
  16. Mess Management and facilitation of staff on regular bases.
  17. To ensure Ambulance management (Planning, compliance of policies, record keeping). 
  18. Maintain daily log of operational updates.
  19. Provide timely support to field staff in problem solving.
  20. Maintain record keeping as per organizational standards.
