Job Description
- Coordination and Communication with Site Team.
- Collaborate with support services and work with the Site Admin team to manage clinic operations and maintain high service standards.
- Arrange logistics for travel and transportation for official visits.
- Manage Service Level Agreements (SLAs) effectively to ensure quality service.
- Share information regularly with the line manager and Head of Department (HOD).
- Coordinate with senior staff to assist with problem-solving.
- Maintain smooth communication with administrative staff for effective operations.
- Compile weekly & monthly reports on general consumables & medicine stock levels and consumption.
- Oversee inventory management and maintain accurate records.
- Update and maintain records for both fixed and non-fixed assets.
- Ensure Planned Preventive Maintenance (PPM) is performed on time and maintain records.
- Build and maintain strong relationships with line departments and donors.
- Ensure timely submission of utility payments (electricity, gas, water, fuel etc).
- Raise quarterly purchase requests for medicines, kitchen supplies, and general items.
- Submit petty cash payments on time.
- Manage mess operations and provide regular support to staff.
- Oversee ambulance management, ensuring proper planning and record-keeping.
- Maintain a daily log of operational updates.
- Provide support to field staff in resolving issues promptly.
- Ensure record-keeping aligns with organizational standards.
- Initiate communication with staff and departments to address complaints and improve service quality.
- Monitor and maintain the clinical environment according to established IHHN & Healthcare Commissions standards.
- Ensure compliance with IHHN Standard Operating Procedures (SOPs) and policies.
- Perform additional tasks as assigned by the line manager.
