Job Description
Financial Management
- Maintain accurate financial records for all project expenditures in line with organizational and donor policies.
- Prepare and process payments, cash advances, and vouchers with proper documentation.
- Maintain petty cash and ensure timely replenishment and reconciliation.
- Support the preparation of monthly financial reports, cash forecasts, and expense tracking sheets.
- Ensure all financial documents are properly filed, labeled, and ready for audits or donor review.
Procurement & Logistics
- Assist in procurement processes including sourcing, quotations, purchase orders, and vendor management.
- Ensure transparent and competitive procurement practices in compliance with procurement policies.
- Maintain inventory records of project assets and supplies at field locations.
- Coordinate logistics for staff travel, accommodation, and transportation, particularly to targeted location of the project.
Administration
- Maintain proper documentation and filing systems for HR, finance, procurement, and administrative records.
- Support recruitment processes, including preparation of contracts, documentation, and maintaining staff files.
- Ensure office supplies and equipment are available and functional at Head offices and field locations.
- Coordinate with local authorities and service providers to ensure smooth operational support in the field.
Compliance & Reporting
- Ensure compliance with donor, organizational, and audit requirements in all financial and admin matters.
- Assist in internal and external audits by preparing necessary documentation and responding to queries.
- Prepare and submit periodic financial and administrative reports to the Project Manager and HQ/Donor as required.
