Job Description

  • Coordination and Communication with Site Team. 
  • Collaborate with support services and work with the Site Admin team to manage clinic operations and maintain high service standards.
  • Arrange logistics for travel and transportation for official visits.
  • Manage Service Level Agreements (SLAs) effectively to ensure quality service.
  • Share information regularly with the line manager and Head of Department (HOD).
  • Coordinate with senior staff to assist with problem-solving.
  • Maintain smooth communication with the administrative staff for effective operations.
  • Compile weekly & monthly reports on general consumables & medicine stock levels and consumption.
  • Oversee inventory management and maintain accurate records.
  • Update and maintain records for both fixed and non-fixed assets.
  • Ensure Planned Preventive Maintenance (PPM) is performed on time and maintain records.
  • Build and maintain strong relationships with line departments and donors.
  • Ensure timely submission of utility payments (electricity, gas, water, fuel etc).
  • Raise quarterly purchase requests for medicines, kitchen supplies, and general items.
  • Submit petty cash payments on time.
  • Manage mess operations and provide regular support to staff.
  • Oversee ambulance management, ensuring proper planning and record-keeping.
  • Maintain a daily log of operational updates.
  • Provide support to field staff in resolving issues promptly.
  • Ensure record-keeping aligns with organizational standards.
  • Initiate communication with staff and departments to address complaints and improve service quality.
  • Monitor and maintain the clinical environment according to established IHHN & Healthcare Commissions standards.
  • Ensure compliance with IHHN Standard Operating Procedures (SOPs) and policies.
  • Perform additional tasks as assigned by the line manager.
