Job Description

  • Greets all patients, their attendants and answer promptly and accurately with courtesy in person or over the phone.
  • Ensure that the counters and waiting areas are properly maintained.
  • Serve as a point of contact for complex patient questions and issues, resolving them with empathy and professionalism.
  • Support clinical operations to ensure smooth clinic and counters' operations to cater volume by coordinating with relevant stakeholders.
  • Assist in the patient facilitation services on daily basis, including patient check-in/check-out, appointment scheduling, and managing patient flow.
  • Supervises management of HMIS pertaining to Medical Record (MR) Registration, Investigation Requisition Slips ORS), Clinic Scheduling, Appointment, Registration, Clinic cancellation and appointment confirmation.
  • Monitors the activity of the issuance of medical record numbers at counters, ensuring information completeness.
  • Maintain front office supplies and inventory; and assist with budget and financial reporting.
  • Handle pending activities regarding admission and discharge queries.
  • Supports operations in achieving KPIs; including volumes, waiting time and no-show rate etc,
  • Support security protocols, ensure the facility remains clean, safe, and secure, and maintain the confidentiality of patient information and service excellence standards.
  • Adheres to professional standards, hospital policies, procedures, and service excellence standards.
  • Works closely with multidisciplinary teams for smooth service delivery and patient satisfaction; e.g. physicians, nursing, clinical staff, IT, security, maintenance etc.
  • Facilitate and participate in projects for improving efficiency, quality health care services and patient satisfaction by supervising performance of assigned staff.
  • Train, guide, and supervise patient facilitation services staff, delegate tasks, monitor performance, and provide guidance to ensure consistent service delivery and they follow hospital policies and procedures.
  • Perform any other task assigned by the immediate supervisor that is commensurate with your knowledge and skills.
