Job Description

  • Plan, develop, organize, direct, manage and evaluate the operations of in-house transport departments and staff transportation outsource contractor. 
  • Responsible to direct / monitor activities of staff in relation to transportation operations including dispatching, routing and tracking of transport vehicles. 
  • Responsible to communicate and implement transportation policies and procedures. 
  • Monitor operations to ensure that staff complies with administrative policies and procedures, safety rules and government regulations where applicable. 
  • Responsible to ensure / and manage regulatory & safety compliance procedures related to transportation activities e.g. vehicle taxes, insurance, tracker activity, CNG cylinder safety certification (TIH, BC, CCH + Outsource Contractor vehicles) including drivers valid driving license. 
  • Responsible to manage key performance indicators to measure the effectiveness of the transportation operations both in-house / outsource contractor. 
  • Responsible to conduct investigations to determine causes of transportation accidents and to improve safety procedures. 
  • Investigations to verify and resolve staff / end users complaints and provide feedback to immediate HOD. 
  • Responsible to coach, train, manage, and appraise the performance of transportation personnel. 
  • Develop constructive and cooperative working relationships. with staff as well as immediate management 
  • Organize and manage the work of subordinate staff to ensure that work is accomplished in a manner consistent with organizational / departmental requirements. 
  • Implement effective staff schedule, monthly revision of routes and policy changes 
  • Promote safe work activities by conducting safety audits / inspections of all vehicles, and meeting with individual transport staff. 
  • Responsible to ensure that all vehicles are kept clean (inside – outside) by transport staff on daily basis 
  • Responsible to monitor activities of repairs, maintenance and routine service of vehicles and ensure that established procedure is followed and records are maintained
  •  Ensure that re-fuelling guidelines are compiled (only one designated driver that is responsible to re-fuel vehicles on monthly basis) and logged as soon as re-fuelling of vehicle is done.
  •  Ensure that all vehicles are re-filled with fuel during emergency city crises or strikes 
  • Conduct employee training sessions on subjects such as hazardous material handling, employee orientation, quality improvement and logging of day to day activities, road safety, impact of reckless driving etc.
  •  Responsible to submit transport work performance report on 3rd of every month to immediate HOD.
  •  Ensure that end of month transport performance data is accurately prepared and presented
  •  Responsible to ensure that staff over time is effectively controlled and prior permission / approval is obtained from immediate HOD.
  •  Responsible to ensure that transport staff is 100 % available during emergency, city crises, strikes to bring critical care staff to campus and drop.
  •  Responsible to ensure that during transport staff sickness, absenteeism or on annual leave transport services are managed without disruption.
  •  Responsible to ensure that outsource contractor is maintaining staff “pick & drop” timings effectively as per contract term / conditions and staff is satisfied with service provider.
  •  Responsible to ensure that staff those “activate or de-activate” transport service must be thoroughly checked, appropriate procedural steps are followed prior to making any decision
  •  Responsible to provide daily briefing to immediate HOD and seek guidance where required.
