Job Description

TASKS & ACCOUNTABILITIES: 

The Program Officer will manage important relationships across stakeholders & implement activities leading to achievements of results, specifically those related to integrated community case management & behaviour change communication. Under the technical guidance of Senior Manager Program & Communication, responsibilities include (but not limited to);

 

  1. Assist in preparation of program related work plan, budget & reports including budget reconciliation.
  2. Take lead in implementation of program activities at field level, including but not limited to training, communication, collection of monthly reports on defined formats
  3. Arrange trainings, workshops, seminars, meetings and other events as defined in the work plan, specifically iCCM project including coordination with local suppliers and vendors
  4. Ensure accurate, reviewed & verified program expenses are submitted within the specified time line to provincial office
  5. Draft letters and take meeting minutes and share with technical supervisor.
  6. Identify & develop success and human interest stories on a quarterly basis
  7. Develop program & project related PowerPoint presentations as and when required
  8. Maintain routine coordination with government line departments, implementing partners, provincial and PMU teams, INGOs/NGOs and other stakeholders as required
  9. Share monthly progress and feedback of meetings, discussions & reviews with supervisor
  10. Verify used RDTs & AMDS against issued stock every month.
  11. Ensure availability of timely up to date data for quality reports including digitization of data of service providers at each union council/hotspot, warehouse stocks, etc.
  12. Ensure data is timely input in iCCM software and verified before transfer to DHIS II
  13. Organize data and other relevant information in timely manner for preparing monthly, bi-annual and annual reports.
  14. Provide support to supervisor by providing timely data for quality reports including but not limited to donor reports as per donor formats.
  15. Reviews data shared for errors, missing pages, or missing information and work with team to resolves any discrepancies.
  16. Keep proper e-record of programme files and other official documents related to programme activities.
  17. Coordinate with provincial office/PMU for organizing meeting logistics, arrangement of key local and international visitors and staff members, etc.
  18. Support short-term contracts services including research and facilitate implemented in accordance with their terms of reference
  19. Timely obtain and forward the invoices of contractors and consultants to relevant department for timely processing, ensuring compliance to requirements.
