Job Description
- Arrange office/storage premises in implementation and development phases according to need.
- Make sure that documentation and other legalities pertaining to rented premises are completed and their renewals/notices are processed timely.
- Organize domestic and International travel and Manage guest house.
- Organize Meetings/ Workshops being held from TIH Platform.
- Accommodation of Staff being travel as per TIH Policy.
- Manage petty cash/Revolving cash for daily administration expenses.
- Supervise kitchen/refreshment supplies and maintain proper records
- Determine office spaces and inventories required for staff needs.
- Ensure the offices and working environment is clean and neat.
- Take care of office fixed assets repair and maintenance, also keeping close eye on office premises for any development required as per increase/decrease in number of staff.
- Ensure timely remittance of utility bills and maintenance of complete record.
- Keep close coordination with the local authorities, law enforcement agencies and maintain data base for all important contacts such as police rescue, fire brigade, civil defense, hospitals and WAPDA / telephone complaints offices to meet an emergency.
- Ensure that vehicle operation is carried out in compliance with the fleet policy and SOPs pertaining to fleet management are followed.
- Make sure that required vehicles are on board and available fleet meets program requirements.
- Ensure vehicles are equipped with required tools, first aid kits and emergency equipment at all time.
- Ensure log books are maintained, checked and drivers are held accountable for any variations in distance/fuel consumption.
- Prepare monthly fuel consumption and mileage reports analyzing efficiency of vehicles.
- Ensure that “fuel to fuel” monitoring is done and variations are noticed to get control over the misuse of vehicles.
- Check and guide security guards in performing their duties, deployed at Our Offices.
- Upkeep and maintain all Fire fight equipment and emergency exit safety measures.
- Check for irregularities (e.g. fire hazards, leaking water pipe, light left on, equipment malfunctions, unlock security doors) and report incidents or problems to the appropriate authority.
- Update contact details of staff members on a regular basis.
